Where the time goes in a partner program
In most partner programs the hidden cost is not the reporting itself but everything around it: e-mails asking for updates, reminders, spreadsheets that arrive in different formats, and the days spent merging them into one report for the board or the donor.
Use numbers from your last reporting cycle. Chasing is the time per partner spent asking, reminding and clarifying; consolidating is the time spent turning everyone's input into one report; assessing is the yearly review of each partner. The day cost should include salary, charges and overheads.
The result is an estimate, not an audit, but it is usually enough to start a conversation about whether a shared tool would pay for itself. The calculator shows how many hours a platform would need to save to cover its price.

How is the cost calculated?
Hours a year = partners × reporting cycles × chasing hours, plus cycles × consolidation hours, plus partners × assessment hours. Working days = hours ÷ hours in a day. Cost = working days × your day cost.
What should I include in the day cost?
The full cost of a working day of the people involved: salary, social charges and a share of overheads. If several people are involved, use an average.
